What rules and filters can I build in Outlook Express?

You can use mail filters to delete messages or to route incoming mail messages automatically to a specified mail folder.

Filters can stop messages from reaching your Inbox by setting conditions on where to file or forward the mail. You can filter e-mail from certain people or with certain words in the subject line. Filters can also be used to file or answer messages automatically. When building filters, remember that you have to tell the computer how to identify the incoming messages (conditions) and what to do with them (rules). You will use the rules to direct the computer to read specific fields to flag and route your messages.

When you are building rules, the computer will prompt you with the option of moving the messages to a separate folder in your Inbox. You need to create the new folder before you create the rule to use that folder. Please follow the directions below to create message rules or filters in Outlook Express on a PC or Outlook Express on a Macintosh.

Rules in Outlook Express in Windows

1. Open Outlook Express

2. Click on Tools

3. Select Message Rules and click Mail

4. If this is the first rule created, the New Mail Rule window will open (if this is not the first rule created, click New in the Mail Rules tab)

5. In the first section of the box, labeled Select the Conditions for your rule, select desired conditions by putting a check in the box next to the desired condition label (you must select at least one condition and you can specify multiple conditions for a single rule by clicking more than one check box)

6. In the second section, labeled Select the Actions for your rule, choose desired actions for your rule by putting a check in the box next to the desired action label (you must select at least one action and you can specify multiple actions for a single rule by clicking more than one check box)

7. In the third section of the box, labeled Rule Description, you may specify particular criterion for selected conditions and actions by clicking any hyperlinks in this section (for example, if you have selected multiple conditions, click the "and" hyperlink in the Rule Description section to specify whether all of the rule conditions must be met before the specified action occurs (AND) or whether at least one must be met (ONE)}

8. In the Rule Description area, be sure to click each word or phrase hyperlink so the rule functions to your expectations
9. In the fourth section of the box, labeled Name of the rule, type the desired name for the rule

10. Click OK

11. Repeat steps 4 through 10 as needed

The rules you have just created will filter your messages as you directed until you change them. You can change them as often as you like from the Mail Rules tab. Simply highlight the rule you would like to change and click the appropriate function: Modify, Copy, Remove or Apply Now.

How do I save or open e-mail attachments when using Outlook Express?

Make sure you trust the sender when saving or opening any attachments you receive via e-mail. Having up to date anti-virus software installed on your PC is more important now than ever.

1. By default, Outlook Express blocks access to attachments that it deems unsafe. An attachment may be "grayed out" (see image below) making it unavailable to access. You may also get the message OE removed access to the following unsafe attachments in your mail: filename.xxx.

2. To override this setting and allow attachments to be saved or opened, select Tools from the top menu, and Options... from the drop down list.

3. Select the Security tab, and remove the check mark in the box labelled Do not allow attachments to be saved or opened that could be potentially be a virus. Click the Apply button and then the OK button.

4. You will now be able to save or open the attachment. Note: you may need to close any open e-mail messages and then re-open them in order to gain access to the attachments.

You may want to set up a specific list of file types to allow (which will block all other types) by following the instructions found in this Microsoft Knowledgebase document (look for the section of that document titled Using the Internet Explorer Unsafe File List to Filter E-mail Attachments)
